How can you prevent data loss ?

The best way to prevent data loss is to have a current backup on a reliable medium. External USB hard drives are a convenient backup solution for desktops and workstations. They are easy to install, compatible with all modern desktop operating systems, and are portable from one machine to another.

Newer desktop computers are also frequently capable of using RAID technology on ATA or SATA hard drives. RAID is a feature that has been available for many years in server operating systems with expensive disc controllers but has been appearing on desktop machines more recently. In a business environment, large SATA hard drives are finding acceptance as near-line storage. The SATA protocol will soon offer 3GB/s throughput and Native Command Queuing, which will bring performance very close to Serial Attached SCSI (SAS) and Fiber Channel. The slightly lower performance is offset by the considerably lower cost of the SATA drives.

10 Basic Steps in preventing data loss

1. Data loss prevention is your first line of defense in protecting and safeguarding your data.
2. Backup your files on a regular basis, then test and verify that your backup is a complete copy of the original.
3. If you are using Microsoft Windows XP, establish System Restore Points before making any significant changes to your system.
4.   Write a contingency plan and practice restoring your data in case of problems. Your contingency plan should
      require, as a minimum:

      • Locating all available backups, including dates and types of backup;
      • Listing and locating all original software packages, detailing updates since the original installation;
      • Locating and making ready an alternate computer

5. Never upgrade software or hardware without a complete, verified backup available in case you need to restore  data.
6. Document your systems and archive original copies of your software in a safe place.
7. Ensure proper environmental conditions (stable temperature, humidity and cleanliness), and proper handling to avoid static discharge and accidental dropping.
8. Delete unused files and applications. Use a disc defragmenter.
9. Physically secure systems from intruders. Deploy firewalls and virus protection.
10. Prepare for physical disasters, including use of off-site storage for backup.
